A request for quotation is the enquiry a buyer sends to multiple vendors asking them to quote rates for a defined list of materials or work. The returned quotes feed straight into a comparative statement for L1 selection.
RFQ format — sample
Send this with quantities filled; the vendor enters rates and the amounts total automatically:
| Sl | Description of Material / Specification | Unit | Qty | Quoted Rate | Amount |
|---|---|---|---|---|---|
| 1 | Cement OPC 53 Grade (50 kg bag) | Bag | 200 | ₹0 | |
| 2 | TMT Steel Fe 500D (12 mm) | MT | 8 | ₹0 | |
| 3 | River Sand (zone-II), screened | cum | 60 | ₹0 | |
| SUB-TOTAL (Basic) | ₹0 | ||||
| GRAND TOTAL (incl. 18% GST) | ₹0 | ||||
What to include
- RFQ header — to/from, RFQ number, date, delivery location, validity.
- Item & specification — exact material spec so quotes are comparable.
- Unit & Qty — filled by you before sending.
- Quoted Rate & Amount — filled by the vendor; amount auto-calculates.
- Terms to confirm — delivery, payment, GST %, freight, validity.
How to prepare it (step by step)
- Enter your items, specifications, units and quantities.
- Send the RFQ to 3+ vendors with the same scope.
- Vendors fill quoted rates and confirm terms.
- Drop the returned quotes into a comparative statement to pick L1.
- Issue a purchase order to the selected vendor.
Emailing RFQs and re-keying quotes is slow and error-prone. ProjectsNext sends RFQs to your vendor list, collects quotes, and builds the comparative statement and PO automatically.
