What is material reconciliation?

Material reconciliation compares how much material should have been consumed (theoretical, from the BOQ) with how much actually was, flagging variance. It is the key control against over-consumption, wastage and pilferage of cement, steel and aggregates.

Material Reconciliation format — sample

Variance and variance % computed automatically against theoretical consumption:

SlMaterialUnitReceivedTheoretical (BOQ)Actual ConsumedVarianceVar %
1Cement (bags)Bag120011501188383.3%
2Steel (MT)MT424041.21.23.0%
3Sand (cum)cum310300322227.3%

What to include

How to prepare it (step by step)

  1. List each material with unit.
  2. Enter quantity received and theoretical consumption (from the BOQ).
  3. Enter actual consumption.
  4. Variance and variance % calculate automatically.
  5. Investigate any head beyond the agreed wastage allowance (e.g. cement > 2%, steel > 3%).
Reconciling cement & steel by hand?

Periodic spreadsheet reconciliation catches leakage too late. ProjectsNext reconciles consumption against BOQ continuously from GRN, issues and measurements — so variance shows up early.

Frequently asked questions

What is material reconciliation in construction?
Comparing theoretical (BOQ-based) material consumption with actual, to control wastage and pilferage.
How is variance calculated?
Variance = actual consumption − theoretical consumption; variance % = variance ÷ theoretical.
How do I make a material reconciliation in Excel?
Download the template, enter received, theoretical and actual quantities; variance and % calculate automatically.
Is the reconciliation template free?
Yes — Excel and PDF, free and editable.
